How to Set Up Microsoft Authenticator for Microsoft 365 MFA

Microsoft Authenticator adds an extra layer of security to your Microsoft 365 account. After MFA is enabled by your administrator, follow these steps to set it up on your mobile phone. Microsoft Support

Step 1 — Install Microsoft Authenticator

On your mobile phone, download and install the Microsoft Authenticator app from the Apple App Store or Google Play Store.

Then return to your computer and click Next.

Step 2 — Add Your Microsoft 365 Account

Open Microsoft Authenticator on your phone.

Select:

+ Add account → Work or school account

Then follow the instructions shown on your computer. If a QR code appears, use Microsoft Authenticator to scan it. Microsoft Support

Step 3 — Complete the Verification

Microsoft may ask you to approve a notification or enter a number/code shown on the computer.

Open Microsoft Authenticator on your phone and complete the verification.

Then click Verify / Next on your computer. Microsoft Support

Step 4 — Choose the Sign-in Option

You may see:

“Sign in to all apps and websites on this device?”

For a company-owned computer used only by you, you can normally select Yes.

For a shared or temporary computer, select No, this app only.

Selecting Yes can also register the Windows device with the organization, so users should not automatically choose it on shared or personal computers. Microsoft Support

Step 5 — MFA Setup Complete

Your Microsoft 365 account is now connected to Microsoft Authenticator.

The next time Microsoft requests MFA, open the Authenticator app and approve the sign-in request or enter the requested number/code. Microsoft Support

Important: Never approve an Authenticator request that you did not initiate. If you receive an unexpected MFA request, select Deny and contact your IT administrator.

Need to change or re-register your Authenticator?
Go to your Microsoft 365 Security Info page and add or update your authentication method. Microsoft Support
